Office Manager
Location: Basel, Switzerland
Start: ASAP
Contract: 12 months
Work model: Hybrid (4 days onsite)
We are supporting a global pharmaceutical company in Basel that is looking for an experienced Office Manager to join their team on a 12 month consulting assignment. This is a varied role combining office operations, executive support, vendor management and administrative coordination within a dynamic international environment.
Responsibilities
- Manage the day to day running of the office and ensure smooth office operations
- Coordinate and manage external vendors and service providers
- Support senior leaders with administrative and executive assistant duties as required
- Administer timekeeping systems and support employee time management processes
- Manage the company fleet of approximately 15 vehicles
- Organise meetings, workshops and company events
- Coordinate incoming and outgoing mail, courier services, shipments and office deliveries
- Act as a key point of contact for office related queries and operational support
- Maintain office supplies, facilities and workplace services
Requirements
- Previous experience in Office Management, Executive Assistant, Administration or a similar operational support role
- Strong organisational skills with the ability to manage multiple priorities simultaneously
- Experience working with vendors, facilities or office service providers
- Comfortable supporting administrative systems and processes, including timekeeping activities
- Proactive, hands on and able to work independently
- Excellent communication and stakeholder management skills
