Benefits Administrator, Europe
The Opportunity
We’re hiring a Benefits Administrator to manage the day-to-day delivery of employee benefits across multiple European countries.
You’ll help ensure employees receive a smooth, responsive and high-quality benefits experience, while maintaining accurate data and supporting compliance with local requirements. Working closely with Total Rewards, People Operations, Payroll, Finance and external providers, you’ll play an important role in running existing programmes and building scalable processes as the business continues to grow across Europe.
This is a hands-on role for someone who enjoys solving operational challenges, improving processes and supporting employees in a fast-paced, international environment.
What You’ll Do
Benefits Administration
- Administer employee benefit programmes across multiple European countries, including health, life and disability insurance, pension and retirement plans, wellbeing programmes, leave-related benefits and flexible benefits.
- Manage benefit enrolments, changes and terminations within required timelines.
- Maintain accurate benefit records across Workday, vendor platforms and other People systems.
- Review employee eligibility, qualifying life events and benefit changes to ensure accurate processing.
- Support annual enrolment and renewal cycles, including system testing, employee communications, issue resolution and post-enrolment validation.
- Help implement new benefit programmes as the organisation expands into additional European markets.
- Ensure benefit transactions are processed accurately and on time.
Employee Support
- Act as a first point of contact for employee benefit questions.
- Provide clear guidance on eligibility, enrolment, claims and benefit provisions.
- Support benefits-related activities during employee onboarding and offboarding.
- Create and maintain employee communications, FAQs and benefit guides.
- Resolve employee queries with empathy, accuracy and a strong service mindset.
Vendor Management
- Act as the primary operational contact for benefits brokers, insurers and external providers.
- Monitor vendor performance and resolve service or administration issues.
- Support vendor implementations, transitions and ongoing operational activities.
- Coordinate benefit invoices and assist Finance with reconciliations and cost validation.
Compliance and Governance
- Support compliant benefits administration in line with local legislation and internal policies.
- Maintain accurate documentation and audit-ready records.
- Assist with internal and external benefits audits.
- Monitor relevant legislative developments and help implement required operational changes.
Data and Reporting
- Maintain high-quality employee and benefits data.
- Produce reports on benefit participation, costs and utilisation.
- Provide accurate data to support benchmarking, renewals and programme reviews.
- Identify trends, data issues and opportunities to improve processes.
Process Improvement
- Develop consistent, scalable processes while accommodating country-specific requirements.
- Create and maintain standard operating procedures.
- Identify opportunities to automate manual work and improve efficiency.
- Support enhancements to Workday and other benefits-related technology.

What We’re Looking For
- A bachelor’s degree in Human Resources, Business Administration or a related field, or equivalent practical experience.
- Approximately 3–6 years of experience administering employee benefits across multiple European countries.
- A strong understanding of European employee benefits practices and administration.
- Experience working with benefits brokers, insurers and external providers.
- Hands-on experience using an HRIS such as Workday.
- Strong Excel skills and confidence working with employee and benefits data.
- Excellent organisational skills and attention to detail.
- A strong employee service mindset.
- Excellent written and spoken English; additional European languages are an advantage.
- Experience working in an international, cross-functional or matrixed organisation.
- Experience supporting a fast-growing or scaling business is strongly preferred.
- Experience with multi-country implementations or operational projects is an advantage.
